A new feature has been added to BBS, Custom Masterfile Fields & Field Lists Maintenance which will allow users to create and maintain custom fields and field lists for the five main masterfiles Customers, Vendors, Products, Equipment and Employees. Only users with access to these modules will be able to create and maintain custom fields and lists.
NOTE: The Custom Masterfile Field and List Maintenance is completely separate to the CRM Custom Fields and CRM Custom Field Lists.
Below are some examples of what Custom Fields would be useful for -
1. Customers – you may want to create a custom field to store a customer’s legal entity name if it differs from their trading name
2. Vendors – you may want to create a custom field to store vendor’s website addresses
3. Products – you may want to create a custom field to store a URL to the product on the manufacturers website
4. Equipment – you may want to create a custom field to store the IP or MAC address of a piece of service equipment
5. Employees – you may want to create a custom field to store the expiry date of an employees forklift license
Custom Fields can be defined in Custom Masterfile Fields & Field Lists Maintenance. Please refer to Custom Masterfile Fields & Field Lists Maintenance for more information.
Once fields have been defined, the custom field data for an entity can be edited in Masterfile Maintenance for Customers, Vendors, Products, Equipment and Employees. This tab will not be visible if there are no custom fields defined for the masterfile.
They are also visible in Global Customer Enquiry, Global Vendor Enquiry, Global Inventory Enquiry, Global Equipment Enquiry and Global Employee Enquiry.
And are reportable on the five Masterfile listing reports Customer Masterfile Report/Listing, Vendor Masterfile Report/Listing, Product Master Listing, Equipment Masterfile Report/Listing and Employee Masterfile Report/Listing.
In the near future, BBS will start importing the OB product attribute data from the data portal into special Product Masterfile Custom Fields allowing users to view all OB product attributes from within BBS.
