The following steps describe how to enter creditor invoices for non-stock suppliers when you have both GST and GST Free lines via Creditors Invoice Entry/Maintenance

 

1.Select the vendor.

2.Enter the vendors invoice number (it must be unique for the vendor), if the vendor does not provide an invoice number you can enter the date etc into the field instead.

3.Enter the date as shown on the invoice.

4.Enter the invoice amount (gross amount of the invoice prior to any discounts).

5.If the amounts that you intend to enter in the disbursements below include tax (where applicable) ensure the Tax Inclusive box is ticked
However, if the amounts you intend to enter for GST applicable items do NOT include tax and therefore GST should be added onto the figure ensure the Tax Inclusive box is unticked

6.Check the due date is correct.

7.Click Header OK.

8.Enter the cost centre (which is usually 0100).

9.Enter the account (eg. Expense/GL account)

10.Check the tax code (eg. T = GST, A = GST FREE)

11.When splitting the amount due to GST and GST Free lines, enter a line for the goods/services where GST is applicable

12.Click Add Line to drop the line into the box and to save the entry.

13.Check the tax amount displayed on the right hand side of the screen balances to the invoice GST amount.

14.Repeat steps 7 to 9 and enter a line for goods/services where GST is NOT applicable

15.Click Add Line to drop the line into the box and to save the entry

16.Click Save Invoice (F5) to save the invoice or Save and Pay (F8) to save and pay if it has been paid.

17.Repeat the above if you have more than one invoice to enter for this period.

18.Click Update Batch to save.
