Main Menu > Debtors > Cash Receipts > Bank Deposit Entry

 

Customer payments not received through the Point of Sale system and customer payments made direct to your bank account can be entered via Bank Deposit Entry .

1.Select New Batch > select relevant payment type > OK.

2.Enter the customer code or I followed by the invoice number or O followed by the sales order number.

3.Check the ageing or click F3 to navigate to the Global Customer Enquiry to check invoice amounts match what is being paid. If you are unable to work out what invoices are being paid and you are certain it is the correct account, proceed with allocating the payment to that customer.

 

When creating a Cheques/Cash batch users will be prompted to enter cheque details  

When creating a Card/EFTPOS batch users will be prompted to enter card details (it is recommended that users do NOT enter full card details)  

4.Enter the amount paid.

5.Click Add Line (F7) to drop the line into the box.

6.Repeat the above for each receipt.

7.When finished, click Update Batch, click No to print a bank deposit slip, and No to print a G/L Journal

8.If prompted that receipts in the batch require posting, click Yes and apply the payments to the appropriate invoices.

 

Helpful Hints

To search using an old account number or find a customer by a keyword, click the magnifying glass next to the customer field.

 

If you can’t find an account, try;

a.Go to Main Menu > Management Dashboard > Debtors Balances.

b.Right click in the list to Find in List and type in the amount without zero’s at the end eg. 70.50 = 70.5

c.If you still cannot find an account enter the payment as usual to customer code UNKPAY and type a description for future reference.

 

To move a payment from one account to another (this could be because it has been entered to a wrong account or you have found an UNKPAY);

a.Go to Debtors > Cash Receipts > Bank Deposit Entry

b.Select a New Batch > EFT/Transfer

c.Enter the customer who you are transferring the funds from.

d.Enter the amount to be transferred as a negative amount and click Add Line (F7)

e.Enter the customer who you are transferring the funds to.

f.Enter the amount to be transferred as a positive amount and click Add Line (F7)

g.The batch must = $0.00 to proceed - when balanced, update the batch and post.

 

If you enter the wrong amount in the first screen and don’t notice until the second screen;

h.Do not apply the payment to anything just press F5 to save over it.

i.Go to Bank Deposit Entry > New Batch > EFT/Transfer

j.Enter the customer.

k.Enter the incorrect amount as a negative and click Add Line (F7)

l.Enter the customer again.

m.Enter the correct amount as a positive and click Add Line (F7)

n.Update the batch and post.
