The following steps describe how to enter creditor invoices for non-stock suppliers in BBS Accounting.

 

1.At the main screen set the processing date to the period that you want to post in.

2.Go to Creditors > Creditors Invoice Entry/Maintenance.

3.Select the vendor.

4.Enter the vendors invoice number (it must be unique for the vendor), if the vendor does not provide an invoice number you can enter the date etc into the field instead.

5.Enter the date as shown on the invoice.

6.Enter the invoice amount (gross amount of the invoice prior to any discounts).

7.Check the due date is correct.

8.Check the header is ok.

9.Enter the cost centre (which is usually 0100).

10.Enter the account (eg. Expense/GL account)

11.Check the tax code (eg. T = GST)

12.The amount will populate automatically – users will need to change the amount if the invoice is being split across multiple GL accounts or the invoice is partially GST free.

13.Click Add Line to drop the line into the box and to save.

14.Check the tax content on the right hand side balances to the invoice GST amount.

15.Click F5 to save the invoice or F8 to save and pay if it has been paid.

16.Repeat the above for all of the invoices in the period.

17.Update the batch to save.
